Who we are

Swiss Meet Up is a community project that organises events for the Portuguese-speaking community in Switzerland. Data controller: Swiss Meet Up, sole proprietorship of Ana Neto, Felsenacker 5, 4203 Grellingen, Switzerland. Contact: info@swiss-meetup.ch.

Your account

Creating an account is optional. If you create one (with email and password, or with your Google account), we store your name, email and, if you provide them, phone number and city, so we can gather your registrations in one place and help you fill in the next form faster. You can delete your account at any time on your profile page: your personal data is removed and past registrations become anonymous.

Photos and videos at events

We take photos and short videos at events and publish some on Swiss Meet Up's website and social media (e.g. Instagram and TikTok). We only publish images where you're recognisable if you give us permission: we ask at sign-up, with a yes or no, and we save your answer and the date you gave it.

Saying no doesn't change anything about your participation. You can change your mind anytime on your registration page or by writing to us: we'll stop publishing images of you and remove any that are on the site and our accounts. Group photos where no one is identifiable can stay published.

What data we collect

When you sign up for an event: name, email, phone number, age (optional), city and your answers to the form's questions. When you subscribe to the newsletter: email (and name, if you provide it). If an event has online payment, the payment is processed directly by the provider (Stripe or Mollie) — we never see your card details. We keep payment records for 10 years, as required by Swiss law for accounting purposes.

What we use it for

Exclusively to organise the events (review registrations, confirm attendance, send event information and reminders) and — only with your consent — to send you news by email. Every news email includes a link to leave the list at any time. We never sell or share your data for advertising.

Where it's stored

We use trusted providers to host the site and the data: Convex (database), Vercel (site hosting) and Resend (email delivery). Some of these providers process data outside Switzerland/the EU under the applicable legal safeguards.

Cookies

The public site uses no advertising or tracking cookies. We only use what is strictly necessary for it to work (for example, the team's session in the admin area and the language you chose) plus aggregated, anonymous visit statistics.

Messages and emails

The emails where we reply to your messages include a small image that tells us whether the email was opened, and we log when you view the conversation on your sign-up page, so the team knows the reply reached you. If you reply to one of our emails, your reply is saved together with your sign-up, just like the messages written on the site.

The other emails we send you (confirmations, payments and reminders) also include that little image, which tells us if the email was delivered and opened. We only use it so the team knows if an important email reached you. We don't track clicks on links in our emails. This information is handled by our email sending provider (Resend).

Your rights

Under the Swiss data protection act (nFADP) and the GDPR where applicable, you can request access to, correction or deletion of your data at any time — just write to info@swiss-meetup.ch. You can also cancel a registration through the link in your confirmation email.
